Position Summary

Executive Assistant and Operations Manager

Location: New York City

As a key contributor within RISE, reporting to the Chief of Staff, the Executive Assistant and Operations Manager will be responsible for:

  • Supporting the Chief Executive Officer
  • Supporting the Chief of Staff
    • Managing office operations
    • Supporting finance functions

Key Responsibilities and Duties:

Support the Chief Executive Officer

  • Maintain fast-paced calendaring for the CEO including but not limited to: scheduling meetings, calls, and speaking engagements
  • Arrange and coordinate CEO travel
  • Coordinate logistics for RISE Board of Director Meetings
  • Manage the coordination and logistics of both internal and external meetings and materials
  • Reconcile CEO monthly corporate credit card

Support finance functions

  • Record and file all incoming and outgoing checks to RISE including deposit checks
  • Support and play coordinating role in data entry, preparation and filing of 1099 forms

Manage office operations

  • Oversee key office logistics such as:
    • Main point person for shipping and ordering supplies
    • Book shared conference rooms
    • Respond and direct all incoming calls on RISE main general line as well as email address
    • Ensure operations of office equipment and troubleshoot when needed
    • Support staff with IT needs

Qualifications:

Required:
  • Possess analytical, critical thinking and “client service” skills
  • The ability to work on multiple tasks and projects with attention to detail, prioritize a challenging workload, being well organized and dependable, positive and solution- oriented
  • Good problem-solving skills with a willingness to be flexible and proactive in a fast- paced and challenging work environment
  • Self-starter with an ability to work well across diverse groups, be a team player
  • MS Word, PowerPoint and Excel, experience
  • Ability to travel
Desired:
  • Experience managing multiple projects simultaneously
  • Ability to collaborate effectively across departments and stakeholder groups
